CUSTOMER POLICY

BOOKING TERMS

Straightforward terms.
One accountable operator.

These terms explain when a booking is confirmed, what the fare covers and what Outmile and its customers can expect from each other.

Plain-English customer informationThis policy explains how Outmile handles your booking and personal information. Contact us if anything is unclear before you book.
01

WHO WE ARE

Your contract is with Outmile

Outmile is the trading name of Thomas Barrett trading as Outmile. Outmile accepts and manages the booking, takes the customer's payment and remains the customer's point of contact.

Correspondence address: Business Central, 2 Union Square, Central Park, Darlington, DL1 1GL. Outmile accepts pre-bookings only for its own Darlington-licensed Hackney Carriages. It does not accept or allocate bookings to private hire vehicles.

02

MAKING A BOOKING

A booking forms only when confirmed

A price displayed as a fixed fare can be booked immediately, subject to vehicle availability. A live road-distance fare uses the planned driving route and the mileage, journey time and agreed fare are saved with the booking. The displayed journey time remains an estimate and may change with traffic. A bespoke journey is only a request for a quote.

A contract is formed when Outmile sends a booking confirmation after receiving the required payment. An automated acknowledgement or quote request is not, by itself, a confirmed booking. Please check the pickup, destination, date, time, passengers, luggage and contact details in the confirmation and tell us promptly if anything is wrong.

03

FARES & PAYMENT

The total is shown before payment

The checkout shows the total fare, the amount payable now and—where a 25% deposit is selected—the balance due directly to the assigned driver on pickup. The driver will confirm the amount and payment method when they arrive. Optional stops, vehicle upgrades and agreed extras are included before payment. For airport journeys, normal airport pickup and drop-off access charges are included in the quoted total. There are no hidden mandatory booking fees.

Stripe processes online card and wallet payments. Outmile does not receive or store full card details. A deposit secures the booking and forms part of the total fare; it is not an additional charge.

For every completed Hackney Carriage journey, the charge is the lower of the agreed booking fare and the taximeter fare. Where the full agreed fare was prepaid and the meter is lower, Outmile will refund the difference. Where a deposit was paid, the balance due is adjusted to the lower metered total.

A fare may change only where the customer asks to alter the route, time, vehicle or other material journey details, or where information supplied at booking was materially inaccurate. Outmile will explain and agree any revised fare before the changed journey is confirmed.

04

THE JOURNEY

What each side agrees to do

Outmile will

  • provide the confirmed journey with reasonable care and skill;
  • use a licensed driver and one of Outmile's Darlington-licensed Hackney Carriages;
  • contact the customer about material changes or delays; and
  • remain responsible for managing the booking and any complaint.

The customer will

  • give complete and accurate journey, passenger and luggage details;
  • be ready at the agreed pickup point and time;
  • ensure children and passengers behave safely and lawfully; and
  • tell Outmile promptly about delays, accessibility needs or changes.

Outmile may refuse or end a journey where carrying it out would be unlawful or unsafe, or where a passenger is abusive, threatening, seriously disruptive or risks damaging the vehicle. Any refund will reflect the circumstances and costs reasonably incurred.

05

DELAYS & EVENTS OUTSIDE CONTROL

We communicate and act reasonably

Journey times are estimates. Traffic, weather, road closures, airport or station disruption and other events outside reasonable control can affect pickup and arrival times. Outmile will take reasonable steps to reduce disruption and keep the customer informed, but does not guarantee arrival by a particular onward-connection time.

Customers should allow a sensible margin for flights, trains, appointments and other time-critical events. Nothing in these terms excludes responsibility where the law does not allow it to be excluded.

06

CANCELLATION, REFUNDS & COMPLAINTS

Our fair-loss promise applies

Passenger transport booked for a specific date or time does not carry the general 14-day distance-selling cooling-off right. Outmile nevertheless gives customers the contractual cancellation and refund rights in its Cancellation & refunds policy, including a full refund with at least 24 hours' notice and a fair-loss cap for later cancellations.

To change or cancel a booking, email office@outmile.co.uk or call 0330 133 1510. Please include the booking reference. Raise a complaint through the same channels; Outmile will acknowledge it and work towards a fair resolution.

07

LEGAL RIGHTS

Statutory rights are preserved

These terms do not limit rights that cannot lawfully be limited, including the right to services carried out with reasonable care and skill. If any part of these terms is unenforceable, the remaining parts continue to apply.

These terms are governed by the law of England and Wales. A consumer may bring a claim in the courts that apply under consumer law. For how personal information is handled, read the Privacy notice.
